Frequently asked questions

The basics

Who can see and leave feedback?

Only logged-in users who can edit the post — Editors and Administrators by default; Authors and Contributors on their own posts. Site visitors never see pins, comments, or any feedback markup. With Pro, guests using a review link can also comment, and advanced permissions can grant roles or individual users full or comment-only access. Developers can change the required capability with the wbifb_required_capability filter.

Can my clients leave feedback without a WordPress account?

Yes, with WPClientFeedback Pro. You create one labeled review link per reviewer; the client opens the link and comments on the live page like a teammate. Links can expire on a schedule and be revoked at any time. Guests are asked for a first and last name, so different reviewers stay distinguishable.

Where does the feedback data live?

In your WordPress database, on your site. WPClientFeedback is self-hosted — there is no external service, no third-party dashboard, and no client content on anyone else's servers. This is the main architectural difference between WPClientFeedback and SaaS feedback tools.

Does it work with my theme and page builder?

The overlay renders in an isolated shadow DOM, so theme styles can't break it and it can't break your theme. Block themes and classic themes are both supported. Content must be built with the block editor (Gutenberg) — pins attach to blocks, which is what makes them durable. Sites built entirely with a non-block page builder are not supported.

What are the requirements?

WordPress 6.5 or newer and PHP 8.0 or newer.

Pins and content changes

Does the plugin modify my content?

When a thread is pinned, a small ID is stored in the block's metadata attribute — the same mechanism WordPress core uses for block Notes. It is invisible on the front-end and in the editor, and the plugin never rewrites content it cannot reproduce byte-for-byte.

What happens to a pin when I edit or move the block?

It stays attached. Anchors survive block reordering, content edits, revisions, and copy/paste. Duplicating a pinned block leaves exactly one copy flagged. Restoring a revision from before a pin existed re-heals the thread on the next editor save.

What if a block is deleted entirely?

The thread lands in the "Unattached comments" tray — visible on the front-end panel and in the editor sidebar. It stays readable and can be re-pinned to a new block or resolved. Feedback is never silently lost.

Can two people work at the same time?

Yes. Pinning on the front-end while someone else has the editor open respects the WordPress post lock — the post content is untouched, and the open editor session picks up the thread. Threads auto-refresh.

Workflow

How do I know what's outstanding across the whole site?

The Feedback Overview ranks pages by open suggestions and shows every thread in one list — group by page, commenter, or status, filter from the column headers, sort by replies or last update, and export CSV. Element-type chips show whether a page needs text edits or image and layout work.

Is there a way to formally close a feedback round? (Pro)

Two ways. Page approvals let a client or teammate sign off on a page, with the approval state shown on the dashboard. Review windows open and close feedback rounds on a schedule, site-wide or per page — closed rounds stay visible but read-only for commenters, while the team can still resolve.

Can I assign feedback to a teammate? (Pro)

Yes. Assign any thread with an optional due date. The assignee gets an instant email, plus daily overdue and due-soon reminders. Stale threads trigger reminders with configurable escalation. Per-person stats and an activity feed live in the People & Assignments tab.

Will this flood everyone's inbox?

The free core emails on new feedback, replies, and resolutions — one setting. Pro adds per-user preferences (instant, daily digest, or off), @mentions, quiet hours with a morning batch, and Slack-compatible webhooks, so each person picks how they hear about feedback.

Pro, licensing, and data

What exactly does Pro add?

Guest review links, page approvals, white label, assignments with due dates and reminders, notification upgrades (per-user preferences, digests, @mentions, quiet hours), Slack-compatible webhooks, people reports with an activity feed and CSV export, advanced permissions (comment-only reviewers, role/user grants, post-type scoping), review windows, and a network-wide multisite license. The free core — pinning, editor integration, threads, dashboard, notifications, backup — stays fully functional without Pro.

What happens if my Pro license lapses?

Team feedback keeps working — the free core never depends on the license. Pro surfaces (review links, approvals, assignments management, white label) require an active license; users granted access through Pro's advanced permissions lose it, while users with normal WordPress capabilities are unaffected. Your data is untouched either way.

Does it work on multisite?

Yes. The free core supports multisite, and a Pro license activates network-wide — one activation covers all sites, managed by network admins, with per-site settings and data.

Can I white-label it for clients? (Pro)

Yes. Set your accent color, logo, and title on the client-facing overlay, and optionally hide the default WPClientFeedback branding everywhere — the overlay chip, the email footer, the admin credit.

How do I back up or move feedback?

Settings → Data & backup exports all feedback to a JSON file and imports it back — imports restore missing items only and never overwrite. On-disk snapshots can be created manually, and one is written automatically before any database schema migration. Imports from a different site are blocked with a warning unless you confirm.

What happens when I delete the plugin?

Uninstalling removes the plugin's database tables and options completely. Export first if you want a record. A keep-data setting is available if you want uninstall to preserve feedback.

Is WPClientFeedback related to "WP FeedBack" by Atarim?

No. WP FeedBack was the former name of Atarim's product (now atarim.io), a separate company and a cloud-based tool. WPClientFeedback is an independent, self-hosted plugin by WBI Consulting Group. If you're comparing the two, see WPClientFeedback vs Atarim.
